2. SCOPE AND YOUR CONSENT TO OUR USE OF YOUR INFORMATION
This Privacy Policy applies to Personal Information and other information (together, “Information”) collected by inhosted.ai or by our service providers on our behalf for the purpose of providing the Services or making the Website accessible to:
(i) visitors to or users of the Website;
(ii) prospective and current customers of the Services;
(iii) service providers and business partners;
(iv) other third parties with whom inhosted.ai interacts.
By providing your Personal Information to inhosted.ai as described in this Privacy Policy, you:

3. DEFINITIONS
“Personal Information” means any information relating to a natural person which either directly or indirectly, alone or in combination with other information available or likely to be available to our business, is capable of identifying them. This includes, but is not limited to, your name; customer account details like username and password; email address; contact number and full postal address. We detail the types of Personal Information collected in Section 3.
“Non-Personal Information” means information related to you that does not personally identify you. This includes information modified by aggregation, anonymisation or de-identification to remove or hide Personal Information.
4. THE TYPES OF INFORMATION WE COLLECT
a) Personal Information: This includes contact information of customers and sub-users added to a customer account and using the Services. Such information may include the name, company name, job title, mobile number, postal address, email address or other communication addresses of the customer or sub-user. If you refer anyone to our Services, we may also collect their email address so we may send a referral or promotional code for our Services.
When you express interest in obtaining additional information about our Services or sign up to use them, we require you to provide Contact Information (“Required Contact Information”). Personal Information does not include aggregated information which by itself does not identify individuals, nor does it include information collected by automated means (described below).
b) Transactional Information: Information about the Services you use and how you interact with us and the Services (for example via email, portal or phone).
c) Billing Information: We collect billing information such as customer name, GSTIN (where applicable), PAN, address, bank or payment account details, etc., for the purpose of providing the Services. To purchase our Services, you may be redirected to a third-party payment gateway where your billing name, address, card/transaction number, card expiry date and card security number may be collected by the payment gateway. Your submission of such Billing Information via the third-party payment gateway is subject to that gateway’s privacy policy and terms of use.
d) Optional Information: If the customer is a business entity, this may include optional details such as annual revenues, number of employees, industry segment or similar information to help us tailor our Services. Provision of Optional Information is voluntary unless otherwise agreed.
e) Information Collected by Automated Means: This includes information collected via cookies, web beacons and similar technologies. For example: browser type & language, IP address, pages viewed, links clicked, number of visits, device ID or other unique identifiers, domain name, screen views, language information, device name and model, operating system type, the URL of the site from which you came and the site to which you go when leaving the Website, and mobile device operating system if you access via mobile. Information may also include how you use certain Service features, functionality of the Services, when you click on advertisements, your participation in surveys about our Services. Although we do not monitor the specific data stored by our customers using the Services, we may track parameters of data transferred (such as file size, bandwidth utilisation) to support features such as usage monitoring. We treat such information as Non-Personal Information; it is subject to the Terms/MSA/NDA (as applicable) executed with you.
f) Sensitive Information: We will not intentionally collect or maintain any information about your medical or health condition, race or ethnic origin, political opinions, religious or philosophical beliefs, or other “special category” data.
5. HOW DO WE COLLECT INFORMATION ABOUT YOU
a) Information you give us or our service providers: You may provide Personal Information when you: (i) access the Website; (ii) request, purchase or use the Services; (iii) communicate with inhosted.ai via phone calls, chat, email, web-forms, social media or other methods; (iv) subscribe to our marketing material; (v) apply for a job at inhosted.ai; or (vi) provide services to inhosted.ai.
b) Information we collect about you and your device via automated means: Each time you visit our Website, view an inhosted.ai advertisement on a third-party site or open our marketing email, we may automatically collect information about you via cookies, web beacons and similar technologies.
c) Email communication: We use pixel tags and cookies in our marketing emails so we can track your interaction — such as when you open the email or click a link in it. When you click a link in an email, it may pass through a separate web server before reaching our Website. We use these tools so we can determine interest in particular topics and measure effectiveness of our communications.
d) Information we receive from other sources: We may receive information about you from third-parties such as business partners, service providers, subcontractors, advertising networks, analytics providers, search information providers, credit reference agencies, fraud protection services, channel partners and resellers.

These features may collect your IP address and the pages you are visiting on our Website. The collection and disclosure of your Information by those social media platforms when interacting via their features will be governed by their privacy policy.
f) Public forums, blogs and the customer reference program: We may host bulletin boards, blogs or forums on our Website. These are public forums; any Personal Information that you choose to submit there may be read, collected or used by others who visit such forums, and we shall not assume responsibility for such. We may also post lists of customers and testimonials on our Website — these may include Personal Information such as customer name, company name and job title.
g) Co-branding: Some of our Services may be offered in conjunction with another company under a co-brand. If you access the website of such other company or access such co-branded services, both inhosted.ai and the other company may receive the Personal Information that’s collected via that co-branded site or service. The company whose privacy policy is displayed on the co-branded site will be responsible for the Personal Information collected.
h) Third-party vendors: To provide the Services and improve the Website, we may engage third-party vendors. In doing so, these vendors may need to collect Personal Information about you in order to fulfil their obligations.
6. HOW WE USE YOUR INFORMATION
Unless otherwise stated herein, we use your Information for providing you the Services you have requested, as described below:
a) To contact you — we use your Contact Information to communicate with you about your orders or Services you use; conduct surveys; send announcements about upcoming features, events or promotions.
b) For marketing purposes — we use your Contact Information to recommend products and services that may interest you, to send newsletters, announcements or special offers, or to notify you about upcoming events. Providing marketing communications is not essential for us to provide the Services; you may opt-out as described in Section 7 below. Your decision to opt-out will not affect your access to the Services.
c) To provide the Services — we need the Required Contact Information, Transactional Information and Billing Information to process your orders (including payments), deliver the Services, provide access to secure areas of our systems, create and maintain your account and control access.
d) To measure interest in the Website and advertisements — we use information collected via automated means to measure interest in our Website and ads, improve the Website and our marketing plans, customise and improve content shown to you when you visit the Website, suggest products and services that may interest you, personalise online ads based on prior web visits or ads viewed, and enable us to review, develop and improve the Services and offers we provide. Collecting this information is not essential to providing the Services.
e) To enable third parties to provide services to us — we may provide your Contact Information to third parties so they can perform technical, logistical or other functions on our behalf. Such disclosures will be subject to the terms of Section 6 below. We also engage third parties to provide reports about usage and browsing patterns of the Website. Such third parties track and analyse information with respect to visitors.
f) We may also use your Personal Information in other ways as more particularly described in our Terms, Master Services Agreement (MSA) or Non-Disclosure Agreement (NDA) (as applicable) and any Company Policies between you and inhosted.ai. Information we collect (through the Website, marketing communications or otherwise) may be combined or enhanced with other information about you obtained from other sources such as our service providers or business partners.
g) To protect our business — we use collected Information to prevent or detect fraud or misuse of the Website or Services, and to identify and protect our business from fraudulent or suspicious transactions.
h) To manage our everyday business needs — to administer and manage our business; train our employees; promote compliance with our Terms/MSA/NDA/Company Policies; allow you to apply for a job with inhosted.ai; carry out research & development to improve the Services; or to carry out other purposes disclosed to you and to which you consent; or to comply with applicable laws
i) Other — if you purchase the Services via one of our online tools, we will use the information you provide during the online sign-up process to establish your account. Information you submit via online chat, email or web-form is archived and may be linked to data we collect about your website visits. Your telephone call or web conference may be recorded for training purposes and we may enter the information you provide via phone or other means into our systems for the purposes described above.
7. DISCLOSURE OF PERSONAL INFORMATION
Except for the limited circumstances described in this Privacy Policy, applicable Terms/MSA/NDA and/or Company Policies, the Personal Information we gather is for internal use only and we will not release it outside of inhosted.ai unless you have consented to such disclosure. When we do share your Personal Information with third parties, we will do so only to the extent reasonably necessary to provide the Services or improve your service experience. We may also share your Personal Information where required or permitted by applicable law or as described below.
Please note that the parties to whom we disclose your Personal Information may be located outside your country. Some of those countries may not have privacy laws that are the same or similar to those where you reside. We will only transfer your Personal Information to third parties in a country where inhosted.ai operates and as permitted by applicable law.
a) Disclosure to our service providers and third-party business partners: We may share your Personal Information, to the extent required for delivering the Services, with our third-party service providers and channel partners. Please be aware that these third-party partners may be located outside your country, so your Personal Information may be transferred abroad. We require that these partners agree to keep all information we share with them confidential and use it only to fulfil their contractual obligations. While we provide these third parties with no more information than is reasonably required, any information you provide to these third parties independently will be subject to their own privacy policies and practices.
b) Disclosure to others: If you breach the Terms/MSA/NDA or Company Policies, or we are under a duty to disclose your Personal Information to comply with law, we may disclose it to the relevant authority. We may release your Personal Information to third parties when we believe it is required to comply with law, to enforce our rights, protect rights/safety/property of our business or others, or to support auditing, compliance and corporate governance functions. Additionally, in events of business reorganisation, merger, sale, joint venture, assignment, transfer or other disposition of all or part of our business, assets or stock (including bankruptcy) we may provide your Information to a third party.
c) Disclosure when we have your consent: We may also disclose your Personal Information for any other purpose we notify you of and for which we obtain your consent. Such purposes may involve the transfer of your Personal Information across borders. We may disclose Non-Personal Information (which does not identify individuals) without restriction. For example, we may provide aggregated or statistical data to advertisers or other third parties.
d) Disclosure to your referrer: If you sign up for our Services through a referral, we may share information with your referrer so they know that you used their referral to sign up for our Services.
8. HOW YOU CAN MANAGE YOUR PERSONAL INFORMATION
a) Communication Preferences and Opt-outs: If you wish to stop receiving marketing emails from us, click the “unsubscribe” link at the bottom of any marketing email or follow the instructions in the email. c) Access and Correction: If you’d like to know what Personal Information we hold about you, subject to applicable law you may submit a request via the contact details below. We will supply the Personal Information we hold about you within the timeframe set by law. Some requests may involve a reasonable fee.

d) Data Retention: We retain certain information about you and your usage in order to comply with legal, tax or accounting requirements and/or for our legitimate business purposes. You can view, update and delete certain information about your account via the inhosted.ai portal. However, when you update or delete information, we may still retain copies of the prior version for our records. Your information may also be archived or periodically backed up for disaster recovery.
e) Choosing not to provide us with certain information: You can choose not to provide some information when using the Website or Services. However, this may prevent you from fully using all features online and may prevent us from providing you the Services.
9. SECURITY OF YOUR INFORMATION
a) Measures we take: We are committed to industry best practice standards for preventing loss, misuse, alteration, unauthorized access or unlawful or unnecessary processing of the Information we collect in Section 3. For example:

-> We use appropriate network access control technologies to limit access to systems where inhosted.ai stores Information; and
->We continuously monitor for potential vulnerabilities and attacks on inhosted.ai systems.
However, we cannot guarantee that the technical, physical and organisational measures we take will prevent every security threat or that your Information will not be improperly accessed, used, altered or destroyed. We will notify you in the event we discover a material breach of security that resulted in unauthorized disclosure of your Personal Information.
b) Steps you should take: To help maintain the security of information you provide to us or store on inhosted.ai systems, please:
-> Keep your passwords private;
-> If you’re a customer, ensure no unauthorised person has access to your passwords or account details. Notify us promptly to deactivate or change your login if needed. Also ensure appropriate security of data you store on our hosted systems;
-> Remember: when you use online tools such as forums, community sites or social networking sites, content you upload may become public. If you don't want it seen by everyone, don't post it.
10. DATA INTEGRITY AND RIGHT TO ACCESS YOUR PERSONAL INFORMATION
We take reasonable steps to ensure that the Personal Information we collect is relevant for the purposes for which it is used, and is as accurate, complete and up-to-date as reasonably possible.
We will retain your Information only as long as needed to provide you the Services or to fulfil the purpose for which it was originally collected (as described in this Privacy Policy).
As noted in Section 7 above, you have the right (subject to applicable law) to access, correct or request deletion of your Personal Information, to oppose certain data-processing practices or to revoke consent previously granted. If you wish to cancel your customer account or request that we no longer provide the Services, you may log in to the inhosted.ai control panel and submit a request. We will respond but may retain and use copies of your Information as necessary to comply with legal obligations, resolve disputes and enforce our agreements. 11. CHILDREN
The Website and the Services are not directed at individuals under the age of eighteen (18) or minors as defined under applicable law. We do not intentionally collect or maintain information about these individuals. We will investigate and, if we determine such collection occurred, we will delete that information.
12. CUSTOMER DATA – PERSONAL INFORMATION OF OUR CUSTOMERS’ CLIENTS
If you have given your Personal Information to another party who uses inhosted.ai’s Services or hosts your data with us, then this section applies to you. Our customers may use the Services to host, transmit or process data on inhosted.ai systems (“Customer Data”). In such cases, it is the customer – not inhosted.ai – who determines the purposes for which such Customer Data is collected and processed. inhosted.ai does not review, share, distribute or otherwise reference that Customer Data except as provided in the applicable Terms/MSA/NDA or as required by law.
Nothing in this Privacy Policy shall be construed to alter any specific terms and conditions applicable to such Services. Our customers remain responsible for any Personal Information they collect and process and for compliance with applicable data-protection laws.
